July 27, 2026

I was supposed to publish this three hours ago. Instead, I spent my entire weekend trying to hire an AI employee.

Not a chatbot.

Not something to answer random questions.

I wanted a Chief of Staff.

Someone who could research topics, write in my voice, keep an eye on HubSpot, remind me about my calendar, tell me when a lead came in, and eventually become part of how I run my business.

Simple.

That's what social media implies.

*"Build an AI employee in 30 minutes."*

Thirty minutes.

Meanwhile...

It's Monday.

Lucy still isn't employed.

## Plot Twist

I didn't build an AI employee.

I built GitHub workflows.

I bought an API key.

I learned about tokens.

I wrote prompts.

I rewrote prompts.

I tested workflows.

I broke workflows.

I fixed workflows.

I discovered there are approximately 437 ways to do the same thing, and everyone on the internet swears theirs is the best.

The funny part?

I actually learned a lot. Just not what I expected to learn.

## Nobody Talks About the Onboarding

Everybody talks about what AI can do.

Almost nobody talks about what it takes to get there.

It's like hiring an employee.

Nobody walks into your business on Monday knowing how you think.

They have to learn.

Your standards.

Your expectations.

Your decisions.

Your shortcuts.

Your pet peeves.

Your way of solving problems.

Turns out AI isn't any different.

You don't just build an assistant.

You teach one.

## Then It Hit Me

Somewhere around hour... I don't even know anymore...

I realized I wasn't actually building Lucy.

I was documenting how I think.

Every workflow I wanted automated had one thing in common.

The instructions already existed.

Just not anywhere anyone else could use them.

They lived in my head.

That isn't an AI problem.

That's an operations problem. Of course I have workflows, SOPs and documentation. Just not for THIS.

## Here's Where It Got Personal

I'm an operations consultant.

I literally help businesses remove waste.

So spending an entire weekend feeling like I was creating it?

That was humbling.

I kept thinking I was one prompt away.

One workflow away.

One more edit away.

Instead, every answer uncovered another decision I had never documented.

Not because I was disorganized.

Because that's how founders work.

We make hundreds of decisions without realizing we're making them.

Until we ask someone, or something, else to do the work.

## AI Didn't Expose My Business.

It Exposed My Brain.

Every time Lucy got something wrong, I caught myself saying,

"Well... That's not what I meant."

Then I had to ask myself a better question.

Did I actually explain it?

Or did I assume it?

That's when the light bulb came on.

AI wasn't failing.

It was showing me every place where I relied on assumptions instead of systems.

## The Unexpected Win

No, I didn't finish Lucy this weekend.

She's still a work in progress.

But I did build something I'll use long after the prompts change.

I finally started using GitHub to build repeatable workflows instead of collecting ideas in another notebook. A promise I made to myself months ago.

That alone made the weekend worthwhile.

Not because GitHub is exciting.

Because repeatable systems are.

## Here's What I'll Tell Every Founder

Before you ask AI to run part of your business...

Ask yourself this.

Could another human run it first?

If the answer is no...

Don't buy another tool.

Document the work.

Clarify the process.

Define ownership.

Then automate.

Because AI doesn't replace operational clarity.

It requires it.

## What This Weekend Cost Me

A few dollars for an API key.

Pennies every time a workflow runs.

Hours learning GitHub.

More coffee than I'd like to admit.

One bruised ego.

A much better understanding of how I actually make decisions.

Looking back...

That's probably a fair trade.

## The Lesson

I thought I was building an AI Chief of Staff.

What I was really building was the operating manual for my assistant.

And maybe that's the part nobody tells you.

Automation doesn't start with AI.

It starts with clarity.

That's still the work.

Assess.

Streamline.

Execute.

Time is luxury.

Don't spend yours automating a process you haven't defined yet.
