Everyone wants to be more efficient. Most people don’t have a method. They just have good intentions and a longer to-do list.

*I use DMAIC as a quiet diagnostic framework. It’s a Lean Six Sigma methodology but you don’t need a certification to apply it. You just need to slow down long enough to work the phases instead of guessing.*

Here’s how each phase changes the way you prioritize:

- Define Before you optimize anything, get clear on what problem you’re actually solving. Not the symptom. The root problem. Ask yourself: “What does success look like and who does it affect?” If you can’t answer that in one sentence, you’re not ready to prioritize yet.
- Measure Stop working off vibes. Collect data. How long does the task actually take? Where are delays showing up? You can’t prioritize what you haven’t measured. This phase kills assumptions.
- Analyze Now look at the data and ask why. Why is this step slow? Why does this task always fall through? Root cause analysis here means you stop putting band-aids on things that need surgery.
- Improve This is where prioritization gets tactical. With a clear problem and real data, you can rank improvements by impact versus effort. High impact, low effort goes first. Every time. This is how you stop grinding on the wrong things.
- Control Efficiency without sustainability is just a good week. Build in checkpoints, documentation, and handoff protocols so the improvement sticks even when you’re not watching it.

Most productivity tips skip straight to Improve. That’s why they don’t last. Working the full framework is the difference between a quick fix and a real upgrade.

Which phase trips you up the most? For me it used to be Control. I’d fix things and walk away. Drop yours below.
